The other day I was helping a remote client access his emails offline for backup purposes. This inspired me to write a tutorial for our blog readers, so you could achieve the same task for free!
Here’s what we did:
Step 1
First off, log into your Gmail account, and navigate to the toolbar at the top which shows your email address and the link for “Settings” as shown:

From here, simply click on the “Settings” link and continue to Step 2.
Step 2
Inside the “Settings” menu you will find a multitude of options, with tabs for more settings on the top. Choose the “Offline” tab and continue on.
Step 3
As shown in the picture above, click on the option that says “Enable Offline Mail for this computer”.
After doing so, if you have not previously installed Google Gears, you will be prompted with an option to install Google Gears. Click “Install” and at the next page click on “Install Gears”
You will need Google Gears to use Gmail offline, and it’s a good idea to have it installed for future Google products anyway.
After installing Gears, or if you already had it installed, go back to the Offline Settings menu (Step 2) and repeat the process. (Click on “Enable Offline Mail for this computer”)
This will begin your installation and synchronization of Gmail offline.

Step 4
When prompted with this message, click “Next” and continue, as Google begins to work.
The next window will give you the option as to where you would like to place shortcuts. I would recommend choosing only the “Desktop” option.
After this, in the upper right hand corner, you should see a progress bar showing the progress of the synchronization that looks like this:
Wait while the progress bar progresses and your emails are downloaded to your computer.
Go to the final Step 5.
Step 5
Now you’re done!
You will now have a shortcut to your offline Gmail on your desktop, and on your toolbar you should see this (except with your email address, not mine :] ) :
